Truck bought or leased: which documents are important for the cartel review?

For an initial assessment, a document collection that clearly links each vehicle to its procurement is helpful. It is not crucial that all records are immediately complete: start with documents available in the business and note open issues. This allows further inspection to be prepared in an orderly way.

Record vehicles individually

Create a separate entry for each truck. A vehicle list provides an overview, even if vehicles have since been sold, returned or replaced. Assign available receipts to the respective vehicle wherever possible, rather than storing documents only as an overall collection.

A clear separation between confirmed information and items still to be clarified is helpful. A continuous list with a note on where the document was found makes follow-up queries easier to trace. The collection is for preparation; it does not by itself yield a conclusion on how an individual case should be assessed.

  • Create a vehicle list per truck
  • Assign available receipts to individual vehicles
  • Clearly note open information

Distinguish purchase, leasing and financing organizationally

Mark for each entry whether the procurement was carried out as a purchase, lease or finance. This assignment makes it easier to compile the appropriate documents and to document the procurement process understandably.

The type of contract should be evident from the available contracts and invoices. Do not draw legal conclusions from this classification; the documents will be reviewed separately in the concrete case.

  • Note the procurement type for the vehicle
  • Store related contract documents together

Collect contracts, invoices and procurement data

For the document review, purchase, leasing or financing contracts, invoices as well as price and contract data are useful. They help document the procurement and reconcile information from the vehicle list.

Keep both individual receipts and related contract documents. A digital copy can facilitate joint review; however, the existing originals should still be retained. Do not replace missing information with estimates; a note such as "document missing" is more helpful for further clarification.

  • Gather invoices
  • Secure purchase, leasing or financing contracts
  • Attach price and contract data

Assign known vehicle data transparently

The vehicle identification number can be used as a clear identification feature. Supplement it, if available, with price and procurement data. This makes it clear which information relates to which truck.

Only adopt information from existing documents. If a VIN or procurement date is not available, note this and search specifically for the appropriate proof.

  • Record the VIN where available
  • Assign price and procurement data
  • Leave unproven information open

Search for missing historical documents purposefully

Older documents may still be available in the asset register, accounting, with the tax advisor or with the lessor. Ask specifically for documents related to the already recorded vehicles there, rather than searching generally for all old files.

Do not destroy possibly relevant receipts before the documents have been reviewed. Also note where searches have already been conducted and which documents were not found. Even an incomplete collection can be a useful starting point for further structuring.

  • Check the asset register and accounting
  • Involve the tax advisor or lessor
  • Keep potentially relevant receipts

Make existing procedures and the initial intake transparent

If claims have already been filed, include existing contracts, assignments, vehicle lists and the last procedural status. Do not make hasty decisions about switching, terminating or taking further steps.

Frequently asked questions about truck documents

Does every receipt need to be present beforehand?

No. Start with existing vehicle lists, invoices and contracts. Missing documents can be marked as open and searched for specifically in accounting, the asset register, with the tax advisor or the lessor.

Which vehicle detail helps with assignment?

Where available, the vehicle identification number helps as an identification feature. Supplement it with price and procurement data from available documents.

What should I present for a procedure already registered?

Provide existing contracts, assignments, vehicle lists and the last procedural status. Whether a switch, termination or further steps are advisable will be assessed in the individual case.
